BEFORE YOU BUY
Do I even need this? Straight answers first.
The free call, the roadmap, and whether you need either one.
Sometimes it isn’t — and if a $30/month Zap solves your problem, we’ll say so in the audit and you’ll spend $499 to save $7,500. We’re for the work that breaks simple Zaps: multi-step, exception-heavy, customer-facing processes that have to be right.
Yes — bring it to the session. We’ll tell you what it would actually cost to run, where the lock-in is, and whether a simpler build gets you the same result. We take no commissions from software vendors.
Yes. Thirty minutes, no invoice, no follow-up sequence. The only thing we sell afterwards is the $499 roadmap, and only if you ask for it.
Someone who builds these systems — the person who’d scope yours. Bring whoever runs the task day to day if you can; the map gets better.
No. If you want to, jot down the task that annoys you most and the tools it touches. We’ll do the rest on the call.
We’ll tell you what we’d build and what it would cost, because that’s the point of the call. We won’t chase you: replies within one business day, no drip sequence, no “just checking in.”
You get the straight answer on the call. If it’s worth going deeper, the $499 roadmap is the next step; if it isn’t, we’ll say so and you’ll have spent thirty minutes.
The free 30-minute call scopes your single highest-ROI opportunity and tells you straight whether automation is the right answer. The $499 session is 90 minutes of working time: we map every workflow and system, rank the opportunities by payback, and send you the roadmap, the skip list and a fixed-price quote in writing. The $499 is credited in full to any build.
90 minutes with you and whoever runs the work day to day, plus a few minutes of prep. Then we need about five days to write it up properly.
THE MONEY
What it costs, and what it returns.
Fixed prices, in public — and what each one does and doesn’t cover.
Because the risk should sit with the people who know how long it takes. A fixed price in writing means we scope carefully, you know the whole number before you pay anything, and if the delivered system doesn’t match the spec we keep working until it does.
One automation, end to end: the roadmap (credited), the build, testing on your real data, documentation, a training session for your team, and 30 days of tuning after go-live. The price is fixed in writing before we start. Multi-workflow builds are quoted the same way — one number, no meter running.
Yes — single-workflow builds (one automation, two or three tools) start at $3,500. Many owners start there, see the payback, and add the next workflow later.
Your own tool subscriptions — typically $40–180 a month across the automation and AI platforms, paid by you directly — and the optional Care Plan. There is no retainer.
Tool fees only — typically $40–180 a month across the AI and automation platforms, paid by you, directly. No retainer. The Care Plan ($250–500 a month) is optional if you want us monitoring and tuning it.
Monitoring, tuning and small improvements for what we built, $250–500 a month, month to month. Most clients don’t need it: the systems are documented and yours. It’s for owners who want someone watching.
If you build with us it’s credited in full. If you don’t, you keep a ranked plan with a fixed price attached, written so any competent builder can work from it. The only way to waste it is to not read it.
Hours a task eats every week, times what those hours cost, against what the build would cost and how long it takes to pay back. Anything that won’t pay for itself inside 12 months goes on the skip list, in writing.
Then that’s the roadmap, and it’s the cheapest $499 you’ll spend. We’re paid the same whether you build or not, so there’s no reason for us to invent a project.
DURING THE BUILD
Four weeks, two hours of yours.
What we need from you, what we touch, and how long it really takes.
About two hours total: one working session at the start, one training session at the end. We handle everything between — you just watch the weekly demos and say yes or no.
No — that’s the whole point. We wire up what you already pay for. If a tool genuinely can’t do the job, we’ll tell you exactly why and what the cheapest fix is. We take no commissions from software vendors.
Anything with an API — and most things have one now: Gmail, Outlook, QuickBooks, Xero, Salesforce, HubSpot, Slack, Teams, Stripe, Shopify, Airtable, Notion, your phone system, your calendar. When a tool doesn’t, we’ll tell you the honest workaround, or that there isn’t one.
Yes, through credentials you create in your name and can revoke any time; the data map lists every one. We build and test on your real data because that’s the only test that counts, and nothing touches a customer until you approve the launch.
Before go-live we run the build against a real stretch of your history — a month of receipts, thirty days of call logs — and compare its output with what your team did by hand. The differences become the fix list; you see them in the weekly demo.
The price doesn’t change — that’s what fixed price means. Timelines slip for two reasons: a tool turns out to have no usable API (we find that in the audit, before you pay) or the spec changes mid-build (we re-quote in writing before we continue). Neither is a surprise invoice.
Inside the usual 2–4 weeks, scoped in writing first. Single-workflow builds sit at the short end.
Most field service builds go live in 2–4 weeks; the after-hours booking build above took nine days from kickoff. The clock starts after the free audit and a fixed-price quote you’ve signed off in writing.
AFTER HAND-OVER
Yours. Then what?
What you own on day one, and who fixes it when something changes.
Everything we build includes 30 days of tuning and fixes. After that, most clients need nothing — the systems are documented and yours. If you want us on call, the Care Plan covers it month-to-month. Either way, you’re never locked to us.
A plain-English description of what the build does and why, the data map (what flows where), every credential and where it lives, the rules you set, and a runbook for what to check when something changes. Written so your next hire can read it.
Yes — the workflows, the docs and the credentials, all in your name. No retainer required. If you walked away the day after hand-over, it would keep running.
APIs change, so every connection is built with retries, a log and an alert, and the runbook says what to check. In the first 30 days we fix it. After that, the optional Care Plan covers monitoring and fixes month to month — or your team follows the runbook.
You own the system and the docs, so your team can change it; most prefer to ask us. Small changes are covered by the 30 days of tuning after go-live and by the optional Care Plan after that.
No. The roadmap is yours either way, written so any competent builder can price from it. If you do build with us, the $499 comes off the invoice.
Builds are tested against your real data before go-live, and you approve the launch. If the delivered system doesn’t match the agreed spec, we keep working until it does — that’s what fixed price means. The risk is ours, not yours.
THE AI ITSELF
What it may do, and what it never does.
Where the AI makes the call, where a person does, and where your data goes.
We design every workflow so AI proposes and rules dispose — anything irreversible (sending money, deleting records, emailing customers) either follows strict rules or routes to a human. You set the guardrails; we build them in, test them, and document them.
Connect moves data between tools you already pay for — CRM to accounting, form to CRM — with no judgment calls. Automate adds AI to make the judgment calls: reading a message, deciding what it is, drafting a reply, chasing, booking. Most Automate builds include the Connect wiring underneath. If all you need is the wiring, we’ll tell you — it’s cheaper.
Whichever fits the job and your data rules — OpenAI and Claude models most often, run through workflows we build in n8n, Make or custom code. We’re tool-agnostic and paid the same either way, so you get the honest pick, documented, with the keys in your name.
Inside your own accounts. We wire the models into your practice software and intake tools under credentials in your name; nothing is copied into a system of ours. The data flow is documented line by line before go-live, so you can show a client exactly what touches their books.
It sounds like a calm, competent dispatcher — and it says it’s an automated assistant if someone asks. The job isn’t to fool anyone; it’s to answer on the second ring at 11pm, get the address and the problem, and book the slot. Callers who want a human get routed to the on-call phone, every time.
They go to a human. The agent posts what it’s sure about and queues everything else with a reason — amount mismatch, possible duplicate, unknown vendor. On the 8-person firm build above, staff only touch those exceptions now.
It can be wrong the way a spreadsheet can: if the data underneath is wrong. The build checks the numbers against each other, flags anything that moved more than it should and shows its sources, so the first person to read it knows what to trust.
It replaces the matching, not the judgment. The build above returned 120+ hours a month to the team; what you do with them is your call — most firms we talk to want more review and client time, not fewer people. If a build didn’t make sense for a firm your size, we’d say so.
For the hours she doesn’t. On the 14-person HVAC build above, about 40% of calls arrived after 6pm. The agent takes nights, weekends and the lunch rush; your team keeps the daytime calls and the exceptions. Nobody loses a job — or their evening.
BY INDUSTRY
Questions from the trades, the firms and the agencies.
Asked by field-service shops, accounting firms and agencies — answered for the tools they run.
FIELD SERVICES
The field services page →You define what counts as an emergency and the agent follows those rules exactly. Emergency calls ring straight through to the on-call tech; if nobody picks up, the agent books the first available slot and sends the details by text so nothing is lost. We test every rule against real call scenarios before go-live.
No. We wire into what you already run. If your scheduling tool has an API — and all three of those do — the agent books straight into it. If something genuinely can’t do the job, we’ll tell you exactly why and what the cheapest fix is. We take no commissions from software vendors.
After-hours answering and booking is a single-workflow build, from $3,500. Dispatch plus invoicing wiring runs from $7,500. If we don’t think an automation will pay for itself inside 12 months, we’ll tell you not to build it — before you spend a dollar.
ACCOUNTING & BOOKKEEPING
The accounting page →No. Both have mature APIs and so do most practice tools. If a client is on something unusual, intake and matching still run; only the final posting step changes.
2–4 weeks for most firms, scoped in writing first. We build against a real month of your data before anything posts live, so the first close on the new system isn’t an experiment.
Receipt matching on its own is a single-workflow build, from $3,500. Intake, matching and posting across your practice runs from $7,500. If it won’t pay for itself inside 12 months, we’ll tell you not to build it.
AGENCIES & PROFESSIONAL SERVICES
The agencies page →Usually — the audit tells us. If project codes and time entries are inconsistent, the first build often starts with the wiring that keeps them clean: a signed proposal creates the project, the project creates the time codes. The report comes once the data is trustworthy.
Whatever you run: HubSpot or Salesforce for the pipeline, your time tracker, your project tool, QuickBooks or Xero for invoicing, Slack or email to deliver. Anything with an API — and we’ll tell you if something genuinely can’t do the job.
The agency build above cost $7,500, saved about 10 hours a week across the account-management team, and paid for itself in 11 weeks. Yours depends on how many hours the report eats today — the free audit puts a number on it.
