SERVICE 02 · AUTOMATE · FROM $7,500

AI that does the robot work.

Automate is Tooliva’s fixed-price AI build: agents wired into the tools you already run, doing the reading, routing, chasing and booking your team does by hand — around the clock. Three builds cover almost everything owners ask us for.

> lead: captured → qualified → booked ✓ 11:48pm

Diagram: an overdue invoice is picked up by the tooliva hub, a polite chase is sent from your email in your voice, the payment lands in Stripe, and the invoice is matched and reconciled in QuickBooks with the owner pinged on Slack.

ONE NIGHT SHIFT

What an agent did while you slept.

Three workflows, one agent, your rules. Illustrative — but this is the kind of log a build like this writes every night.

> shift log · 6:00pm → 6:00am

  1. > 6:12pm

lead: website form → qualified → booked Thu 10:00am ✓

  2. > 8:40pm

invoice #1042: 7 days overdue → reminder drafted in your voice → sent ✓

  3. > 11:48pm

    lead: missed call → text-back → reply → booked ✓

  4. > 2:05am

    inbox: 31 messages read → 27 filed → 4 flagged for a human ✓

  5. > 5:30am

    report: 6 tools pulled → 2 anomalies flagged → sent 6:00am ✓

  6. > 6:00am

    summary to owner: 3 bookings · 1 payment · 4 to review ✓

> shift: 12h · humans paged: 1 · rules broken: 0

None of this is a promise about your numbers. It’s what the robot work looks like when a system does it.

BEFORE / AFTER

The same Friday, wired.

Invoice chasing is the build most owners start with. Here’s what it looks like by hand, and what it looks like wired.

BY HAND · every Friday

  1. Friday 4pm · pull the overdue list from QuickBooks
  2. Draft 14 reminder emails, one by one
  3. Get interrupted, forget 3
  4. Monday · chase the same 3 again
  5. Thursday · a payment lands; nobody matches it until month-end

every Friday, forever

WIRED · runs itself

  1. > day 7 · overdue invoices found → reminders drafted in your voice ✓
  2. > rules check: amounts above your threshold → held for your OK ✓
  3. > sent 6:00am · replies routed to the right person ✓
  4. > payment lands → matched in QuickBooks → owner pinged ✓

> your Friday: back ✓

GUARDRAILS

AI proposes. Rules dispose.

Every build ships with three lists, written with you and tested on your real data before go-live.

ON ITS OWN ✓

  • read and classify messages
  • draft replies in your voice
  • book open calendar slots
  • send confirmations
  • match payments to invoices

WITH YOUR OK ↗

  • anything touching money above your threshold
  • customer-facing replies you flag
  • changes to bookings already confirmed

NEVER ✗

  • delete records
  • move money
  • promise a price or a time it doesn’t have

You set the lists. We build them in, test them, document them and hand you the keys.

THE MATH

Hours your team spends on robot work, priced.

Drag the sliders. The payback line assumes a typical $7,500 build — the honest version of the pitch.

If an automation won’t pay for itself inside 12 months, we’ll tell you not to build it — before you spend a dollar.

Do your own math.

Drag the sliders. See what the busywork really costs.

Burned every year: $28,080. Hours back per year: 624 hrs. Payback on a typical $7,500 build: 3.2 months.

HOW IT WORKS

Scoped, built, handed over. Four weeks, typically.

Audit, blueprint, build, hand over — the same every time, fixed price agreed in writing before step three.

  1. 01

    Audit

    Week 1

We sit with your team, map how work actually moves through your business, and find where the hours leak out.

  2. 02

    Blueprint

    Week 1–2

You get a ranked plan: what to automate first, what it returns, what it costs — and what isn’t worth building. Yours to keep, even if you walk.

  3. 03

    Build

    Weeks 2–4

Fixed price, agreed in writing before we start. Built and tested on your real data before anything touches your customers.

  4. 04

    Hand over

    Week 4+

Full documentation, a training session for your team, and 30 days of tuning included. Then it’s yours — no dependency on us.

OBJECTIONS, ANSWERED

What owners ask before an Automate build.

Connect moves data between tools you already pay for — CRM to accounting, form to CRM — with no judgment calls. Automate adds AI to make the judgment calls: reading a message, deciding what it is, drafting a reply, chasing, booking. Most Automate builds include the Connect wiring underneath. If all you need is the wiring, we’ll tell you — it’s cheaper.

We design every workflow so AI proposes and rules dispose — anything irreversible (sending money, deleting records, emailing customers) either follows strict rules or routes to a human. You set the guardrails; we build them in, test them, and document them.

Whichever fits the job and your data rules — OpenAI and Claude models most often, run through workflows we build in n8n, Make or custom code. We’re tool-agnostic and paid the same either way, so you get the honest pick, documented, with the keys in your name.

One automation, end to end: the roadmap (credited), the build, testing on your real data, documentation, a training session for your team, and 30 days of tuning after go-live. The price is fixed in writing before we start. Multi-workflow builds are quoted the same way — one number, no meter running.

Tool fees only — typically $40–180 a month across the AI and automation platforms, paid by you, directly. No retainer. The Care Plan ($250–500 a month) is optional if you want us monitoring and tuning it.

About two hours total: one working session at the start, one training session at the end. We handle everything between — you just watch the weekly demos and say yes or no.

READY WHEN YOU ARE

Tell us which task your team hates most. We’ll tell you what it costs to never do it again.

A free 30-minute call — not a sales pitch. We’ll scope your highest-ROI opportunity and tell you straight whether automation is even the right answer. Want the full mapped roadmap after that? It's a fixed $499, credited to any build.
