ACCOUNTING & BOOKKEEPING FIRMS

Receipts don’t reconcile themselves. Until they do.

Tooliva wires your practice software, bank feeds and document intake together so receipts reconcile themselves and your staff only touch the exceptions. Built for bookkeeping and accounting firms with 5–25 people.

WHAT YOUR STAFF TOUCH NOW

The agent matches. Your team reviews.

Everything the agent is sure about posts itself. Everything else lands in one queue with a reason — illustrative morning below.

248 of 250 is the 99.2% match accuracy from the real build — the two exceptions are the job.

THE MATH

Price the hours your team spends matching.

Drag the sliders. The payback line assumes a typical $7,500 build.

If an automation won’t pay for itself inside 12 months, we’ll tell you not to build it — before you spend a dollar.

Do your own math.

HOW IT WORKS

Built against a real month before anything posts.

Audit, blueprint, build, hand over — tested on a full month of your data before the first live close.

  1. 01

    Audit

    Week 1

We sit with your team, map how work actually moves through your business, and find where the hours leak out.

  2. 02

    Blueprint

    Week 1–2

You get a ranked plan: what to automate first, what it returns, what it costs — and what isn’t worth building. Yours to keep, even if you walk.

  3. 03

    Build

    Weeks 2–4

Fixed price, agreed in writing before we start. Built and tested on your real data before anything touches your customers.

  4. 04

    Hand over

    Week 4+

Full documentation, a training session for your team, and 30 days of tuning included. Then it’s yours — no dependency on us.

QUESTIONS FROM PARTNERS

What accounting firms ask us first.

Inside your own accounts. We wire the models into your practice software and intake tools under credentials in your name; nothing is copied into a system of ours. The data flow is documented line by line before go-live, so you can show a client exactly what touches their books.

No. Both have mature APIs and so do most practice tools. If a client is on something unusual, intake and matching still run; only the final posting step changes.

They go to a human. The agent posts what it’s sure about and queues everything else with a reason — amount mismatch, possible duplicate, unknown vendor. On the 8-person firm build above, staff only touch those exceptions now.

It replaces the matching, not the judgment. The build above returned 120+ hours a month to the team; what you do with them is your call — most firms we talk to want more review and client time, not fewer people. If a build didn’t make sense for a firm your size, we’d say so.

2–4 weeks for most firms, scoped in writing first. We build against a real month of your data before anything posts live, so the first close on the new system isn’t an experiment.

Receipt matching on its own is a single-workflow build, from $3,500. Intake, matching and posting across your practice runs from $7,500. If it won’t pay for itself inside 12 months, we’ll tell you not to build it.

READY WHEN YOU ARE

Tell us how long your close takes. We’ll tell you what it costs to halve it.

A free 30-minute tool-stack audit — not a sales pitch. We’ll look at your practice software, your intake and your bank feeds, scope the highest-ROI build and tell you straight whether it’s worth doing.
